Equipment rental works best when the supplier understands the event and the venue. A list of product names alone may leave out the cables, operators or setup time needed to make everything work together.
Describe the job first
Explain the audience size, indoor or outdoor setting and what the programme involves. A presentation, live performance and hybrid meeting place different demands on sound and screens. Share any technical requirements supplied by the venue or performers.
Check compatibility
Tell the supplier what equipment you already have and what others will provide. Confirm the connections, screen or projection requirements and the source of content. Ask who will check the complete arrangement before guests arrive.
Clarify the service around the equipment
Ask whether the proposal includes delivery, installation, operators, testing and pack-down. Confirm the rental period and the timing of collection. For furniture, tents or stages, provide a venue plan and discuss access for setup.
Agree on responsibility
Read the supplier’s deposit, damage and return arrangements before booking. Identify who is authorised to receive the equipment and who will sign it back. Ask how technical problems during the event will be handled.
Reserve time to test
Include an equipment check or rehearsal in the schedule. Bring the actual presentation files, devices or performance requirements where possible. A short test using the final setup is more useful than assuming that individual items will work together automatically.
