The right venue supports what your guests will actually do. A room that works for a seated meal might feel awkward for a workshop or exhibition. Begin with the event format and estimated attendance, then compare spaces that can comfortably support both.
Walk through the guest experience
Think about arrival, parking or drop-off, registration, seating, meals and departure. Ask about step-free routes, toilets and the distance between different parts of the venue. Check the requirements of your actual guests rather than assuming a general description covers everyone’s needs.
Request a layout
Ask for a plan showing tables, aisles, presentation areas and any equipment. Check how the room changes once catering stations, a stage or a dance floor are added. A quoted capacity does not always describe the layout you have in mind.
Compare the complete proposal
Clarify room hire, food and beverage arrangements, setup time, equipment, furniture and staffing. Ask about outside suppliers and any restrictions that may affect your design or programme. Confirm what the venue provides and what another supplier needs to arrange.
Plan for a change of conditions
For an outdoor event, discuss a practical indoor or sheltered alternative with the venue. Ask when that decision must be made and whether moving the event changes the setup or price. Keep supplier access and pack-down time in the final schedule, not just the hours guests are present.
Browse venues and stays, then request a proposal for your specific date and format.
